Member Terms and Conditions

  • Currently, all members must be aged over 14 for the gym and 18 for classes (apart from specific kids classes).
  • No admin fee is payable upon memberships or passes for Hello Fit but we do require payment for an access fob (£5).
  • Your membership cannot be transferred to another person.
  • You have the right to cancel at any time within 48 hours of starting your membership and will receive a full refund, providing no classes have been attended. After this, the membership payment in question cannot be refunded.
  • A direct debit or recurring card payment in most cases is set up to pay your membership fee each month, you can cancel this with 30 days notice.
  • To reiterate, 30 days notice MUST be give when cancelling a membership.  Direct debit payments process your membership payment 5-7 days before the date the money leaves your account so please bear this in mind if you are planning to cancel.

  • Your membership will run from date-to-date each month – if there are any unexpected closures, we will extend your membership to cover that period. However,  we will close each year for a few days around Christmas and New Year, any other periods where Lise and Rich are away will be covered by a limited ‘guest timetable’ (no more than 4 weeks over the year); the membership fee is inclusive of this.
  • Some instructors including the kids classes have holidays over the year (up to 2 weeks usually). These dates will be given with advance notice and your membership for the kids classes is inclusive of this.
  • There may be occasions where the gym cannot open, we will do our best to advise you in advance, unless in an emergency.
  • You agree to complete a PAR-Q, answering all questions honestly.
  • You agree to advise us of any changes to the answers to the PAR-Q questions – your safety is paramount and it is in your best interest to keep us updated of any injuries or ailments.
  • You agree to advise us of any changes to your contact details.
  • We will use your personal information to keep you updated on our member services and inform you about any other services or offers.
  • Your information will not be passed to any third parties.
  • We may need to increase the price of our memberships, we will provide you with at least one full month’s notice if this is to happen.
  • All challenges held within the unit are subject to fair play, which is managed by Hello Fit.
  • We request that all classes are booked online in advance of the class taking place.
  • All classes will run, even if only one member has booked on to that class.
  • Hello Fit reserve the right to amend classes according to popularity or current trends. We will aim to provide at least one month’s notice prior to making any changes.

Personal Training Agreement

  • The PT will use their skills and knowledge to design a safe programme of exercise that will take into account the personal goals, fitness levels and exercise likes and dislikes of the Client.
  • The PT will provide the coaching, supervision, advice and support that the Client may need to help achieve their goals.
  • The Client’s progress will be regularly monitored and the programme revised and adjusted accordingly.
  • All Client information will be kept strictly private and confidential. If the trainer requires further medical information from a practitioner, the Client will provide such details.
  • It is understood between Client and PT that both will commit to the programme and give 100% effort.
  • The Client is required to arrive 5 minutes prior to a training session so that a full session can be achieved each visit.
  • The Client is required to wear appropriate clothing and footwear. Clothes should be loose fitting and non-restrictive. Footwear should be comfortable and provide adequate support.
  • The Client is required to bring an appropriate water bottle, filled ready for the session and any sustenance required by the Client for pre or post session nutrition.
  • Clients must complete a PAR-Q before commencing any exercise programme. The Client may be required to provide a letter of ‘medical clearance’ from their GP.
  • In consideration of the Service, all sessions will be paid according to the session rates charged at the time of booking.
  • The Client understands that: It is the responsibility of the Client to ensure that the dates and times booked are correct.
  • To cancel a booked session, the Client must notify the PT either in person or by phone, text or email 48 hours prior to the appointment.
  • If cancellation takes places between 24 and 48 hours, 50% of the session fee will be payable.
  • If less than 24 hours notice, the full session fee will be payable.
  • If the session has to be cancelled by the PT, there will be no charge/loss of session.
  • The PT is only required to wait for 20 minutes past the agreed start time. After this the PT may leave the premises and the Client will forfeit the amount for the session.
  • If the Client arrives within the 20 minutes the PT will complete the time left of the original session. No extra time will be given.
  • If the PT is more than 10 minutes late on arrival to the session, the Client can have a full hour from the time that the PT arrives (if convenient), or the Client can have the remaining time of the session added on to another session.

Cancellation Policy

  • Members must notify Hello Fit if they wish to cancel their membership.
  • Refunds are not given if cancellation is made after payment.
  • Cancellations can take up to 24 hours to process.

Final Note

  • You fully understand and agree to abide by the above rules and regulations. Before embarking on an exercise programme you should have completed the PAR-Q. You must also understand that you should inform your PT of any medical conditions that may not have been covered in the form and that you may be advised to visit your doctor prior to commencing the sessions. You acknowledge that you have either had a physical examination and have been given your doctors permission to participate, or that you have decided to participate in the activity and/or use the equipment and machinery without the approval of your doctor and do hereby assume all responsibility for your own participation and activities.
  • You release Hello Fit, the PT and any other PTs who train yourself from any liability for personal injury or other damage that you may sustain whilst engaging in any exercise programme suggested by the Personal Trainer.
